Faculty/Department Coordinators’ Responsibilities
Student Mobility
1. To maintain a healthy coordination between the Erasmus Office, Faculties and the Departments.
2. To form new bilateral agreements, to promote Erasmus to students, advising of opportunities available
3. To promote the program among department students and staff, to guide them, and to respond to their information requests.
4. To announce Erasmus + mobility applications and selection results within the departments / faculties.
Before Erasmus/ Student Study Mobility
1. For the work of the students; to have a good command of the work-flow chart related to the processes the students need to do for learning, Learning+ internship and internship mobility and to direct students to carry out related procedures
2. To provide direct support to the coordinator following the application process of outgoing students.
3. To check the selection of courses related to the student's mobility of learning, and conform with the department of the institution where the internship will be carried out regarding the internship mobility
4. To fill in the application form of the host institution with the Erasmus student and to ensure the application is made on time.
5. To choose the subjects (at least 30 ECTS) to be studied at the host institution together with the student and to fill in the Learning Agreement document.
6. To write to the Head of the school – Dean of faculty for a Board of Directors’ to inform of the decision regarding acceptance of the selected courses
7. To ensure that the Erasmus+ student is registered in the faculty and has paid the tuition fee before going. (to be done with the advisor)
Following the Student’s Departure
1. To contact the student to help perform the related add-delete process if there is any.
2. To present solutions to problems that the student might experience while studying abroad in an academic environment and similarly to answer the student's questions related to the academic environment.
3. To write to the Head of the school – Dean of faculty for a Board of Directors’ to inform of the decision as regards any course changes.
After the ERASMUS/ Returning Students
1. To carry out the procedures required for academic course recognition and equivalence for the courses taken abroad (with petition+transcript of records provided by the host institution) once the student returns from the mobility activity.
2. To provide support with academic orientation of the incoming students, course choices, and support for the tracking of their education and preparation of their transcripts.
3. To inform the lecturers of the department about the progress
Staff Mobility
1. To plan the curriculum/teaching plan of the incoming academic staff for teaching and to ensure that the details are communicated to the partner university.
2. To write to the Head of school about the activities of the academic staff going abroad for the Board of Directors’ decision to provide acceptance.
3. To introduce Erasmus + Personnel Mobility program to the department lecturers, direct staff and respond to information requests.
4. To make new bilateral agreements and encourage department / faculty members in this regard.
